System Overview – Integrated Document Signature Process

Overview

V-Pass partners with a HIPAA-compliant electronic document signature solution that is fully integrated within the V-Pass platform.

·       Current integrated solution: SignNow (subject to change as platform evolves).

·       Document signing functionality is enabled at the tenant level.

·       Once contracted, V-Pass Customer Support activates document signing for the client.

Document Configuration

·       Documents can be configured at the practice level.

·       If different practices require different documents, the client must provide:

·       Finalized documents.

·       Clear instructions identifying which documents belong to which practice.

·       V-Pass is responsible for loading and configuring the documents within the platform.

·       If multiple documents are assigned to a practice, agents will be presented with all applicable documents during the workflow, with the option to send one or more to the patient

Patient Signing Experience

·       Patients review documents within the V-Pass workflow.

·       Patients may use their finger or stylus  to sign and initial electronically.

·       Agent validates completion of all required signature fields before submission.

Document Routing and Storage

·       Once signed and validated, documents can be transmitted to the client’s designated SFTP location.

·       Secure transmission aligns with HIPAA compliance standards.

Agent Responsibilities

·       Ensure correct document(s) are presented to the patient.

·       Guide the patient through the signing process.

·       Validate all required fields are completed.

·       Enter the patient’s name and date of birth when pushing the completed document to SFTP.

Governance and Future Considerations

·       Integrated document signing vendor may change as V-Pass evaluates new capabilities.

·       Clients will be notified of any platform enhancements or workflow changes.

·       Release notes are available within the V-Pass settings menu when updates occur.
